Introduction

Our Client is currently recruiting for a Information Managment Specialist who will provide guidance, and expertise to deliver a variety of major projects. The IM Specialist is part of the Information and Document Management function, responsible for managing and supporting Information Management systems such as Aconex.

What are you going to do 

System Administration and User Support:

  • Maintain responsibility for the Electronic Document Management System (Aconex), addressing user inquiries and issues.
  • Serve as the primary contact for user support on Oracle Aconex and SharePoint Online, ensuring timely resolutions.
  • Manage communication channels to update users on system upgrades, outages, and other critical information.
  • Create and manage user accounts, groups, and permissions in Oracle Aconex, ensuring secure access.
  • Handle external access requests and permissions for third-party service providers.

Training and Best Practices:

  • Provide training on Aconex and SharePoint Online for internal and external users.
  • Develop and maintain user guides and training materials to keep users informed of system functionalities.

System Configuration and Maintenance:

  • Configure project-specific templates, workflows, and distribution rules in Oracle Aconex.
  • Set up document review and approval processes to meet project needs.
  • Manage system configurations for new and ongoing projects, ensuring alignment with project goals.

Integration and Collaboration:

  • Work with IT teams to integrate Aconex with other enterprise systems.
  • Contribute to RFP documentation by providing EDMS-related input.
  • Collaborate with project teams to configure Aconex for project-specific requirements.

Reporting:

  • Generate and customize reports for stakeholders using Aconex and Power BI.

Continuous Improvement:

  • Promote the transition from document-centric to data-centric project execution models.
  • Monitor system performance and recommend improvements for efficiency.

IDM Functional and Project Support:

  • Participate in the continuous improvement of document management processes.
  • Provide end-user support and train users on IDM tools and procedures.
  • Conduct regular quality audits to ensure compliance with IDM standards.

Essential skills and knowledge 

Qualifications:

  • Post-secondary degree or diploma in a related field.
  • 7-10 years of experience in an IM leadership role.
  • Strong experience with Aconex and SharePoint Online; experience with SDx or Smart Plant Foundation (SPF) is an advantage.
  • Proficient in Microsoft SharePoint, Word, Excel, Outlook, PowerPoint, Power BI, and Adobe PDF.
  • Knowledge of CFIHOS & IM standards (ISO 15926) is beneficial.
  • Experience in the mining or construction industry is valuable.
  • Independent, self-motivated, and able to manage multiple priorities.
