Introduction

We are currently hiring a highly motivated and experienced Contract Administrator for our esteemed mining client at Sudbury, Ontario. This role is pivotal in procuring the required materials, goods, equipment, and services that meet stringent quality, safety, and environmental standards, all while achieving the lowest possible cost. The successful candidate will play a key role in cost containment, quality control, and maintaining procurement integrity, making significant contributions to their operational efficiency.

Responsibilities

  • Prepares Bid packages for site and cross-divisional services and key commodities to send out for tender.
  • Analyzes tender results in conjunction with site and cross-divisional procurement lead personnel with reference to dollars, service availability/schedules and recommends successful bidders.
  • Writes and administers a variety of contract documents, in accordance to legislated requirements and our clients' requirements coupled with maintaining accurate and complete contract documentation files.
  • Follows procurement procedures for developing and implementing contractual safeguards which clearly establish responsibility for warranting of design, materials, workmanship, performance, and patents for all purchased materials, goods, and services.
  • Provide a strong contractual resource link between service provider and site contact personnel.
  • Monitors contract compliance site wide and recommends issues for resolution as well as providing contract administration services pertaining to contract changes and claims, contract interpretation and closeout for construction contracts as required.
  • Maximizes purchasing strength in the marketplace to obtain most favorable terms and conditions of purchase.
  • Promotes a positive company image among vendors and the local community.
  • Conducts interviews with representatives of suppliers to keep abreast of new developments in equipment, suppliers, availabilities, and costs.
  • Participates on continuous improvement teams and reviews contractor's safety performance.
  • Maintains an excellent working relationship and acts as a supportive service role with all company and corporate departments and vendors to ensure and maintain current levels of equipment, service, supplies, and future requirements to ensure uninterrupted production and development of strategic vendor relationships.
  • Participates in appropriate training and complies within the scope of their responsibilities within the Sustainable Development Management System, which includes the Environmental Management System.

Requirements

  • Post-secondary education in procurement, supply chain management, business administration, or a related field.
  • Experienced in procurement, materials handling, supervision administration, and contracts in industrial sectors.
  • Excellent verbal and written communication skills.
  • Proven ability to negotiate and influence favorable terms and conditions.
  • Exceptional organizational skills to manage multiple contracts and projects simultaneously.
  • Capable of leading cross-divisional teams and stepping in for supervisors when needed.
  • High standards of ethics and integrity in procurement practices.
  • Proficiency in procurement and materials management software.
  • Familiarity with procurement procedures, contractual safeguards, and compliance monitoring.
  • Ability to work independently with minimal supervision, flexible with working hours, and available for site visits and vendor audits.
  • Experience in underground mining is highly valuable.
