Introduction

  • Responsible for the document and correspondence controls activities for the CO2 Sequestration Project, Project Management Team (PMT) in accordance with the Information Management Plan, Document Control and Correspondence procedures.
  • Responsible for operating Documentation via PMT Electronic Document Management System (EDMS).
  • Responsible for ensuring that project documentation flows between locations and departments (PMT and Contractor) according to approved plans and procedures during all phases of project execution.
  • The operating environment is dynamic and challenging, requiring a high degree of personal commitment and organization.
  • Flexible time management is important when working in a small engineering team environment in different world time zones.
  • Positional boundary set by the approved Project Organization Charts.

What are you going to do 

  • Responsible for the successful execution of document control management requirements throughout the project life
  • Responsible for the control of technical and project documents, including transmittals
  • Execute requirements of Project Information Management Plan to project activities such as records management, trainings, document reviews
  • Administer the PMT Electronic Document Management System EDMS (PIMS)
  • Verify Metadata in accordance with Company procedures, assist document numbering requests, assist exchange & export information and documents for Contractor and PMT
  • Participate in Assessments and Audits with guidance from Head of Information Management (HIM)
  • Acts as the Document Custodian, ensuring Information Protection and Information Security is applied in accordance with Company standards, checking that company Information Classification are managed appropriately
  • Issue document transmittals, transmittal numbers and correspondence numbers in accordance with EDMS
  • Perform quality checks and process the technical documents from the Contractor
  • Distribute incoming documents electronically for review and approval in accordance with Document Distribution Matrix (DDM).
  • Provide weekly and quarterly reports on the documents progress
  • Maintain electronic libraries and register of documentation, with the latest revision
  • Coordinate Completeness and Correctness checks of Fabrication Record Books, System Completion Dossier and other related dossiers as requested by HIM
  • Prepare and transfer the Final Documentation to Operating Company

Essential skills and knowledge 

  • Bachelor of Science Business Management or equivalent
  • 5 years related experience in Oil & Gas Document Control and experience working within a Project organization
  • Knowledge and experience in management processes and document control procedures, Electronic Document Management Systems (preferably Documentum)
  • Experience in working with large Contractors in the areas of Document Control and Information Management
  • Experience in completing and delivering Project Information Handover (PIH)
  • Experience in MS Office
  • A high level of proficiency in written and spoken English
  • Computer literacy involving the regular use of professional office applications and some technical applications
