* Assist with the planning and scheduling of preventative maintenance and outage work order resources, to ensure the appropriate level of detail is tracked and recorded to deliver outage objectives and milestones, * Assist with the onboarding and engagement process to ensure a minimum amount of delay prior to and during the maintenance execution phase,
* Processing of purchase requisitions and generating purchase orders ensuring that the procurement of services, parts and materials is completed efficiently to support planned maintenance and outage tasks, * Attend site meetings to take and distribute meeting minutes. Prepare action item list and assist with completion when appropriate,
* Collect and collate information for preparation of various reports and presentations,* Coordinate guest, site and visitor inductions by advising security of guest attendance,
* Coordinate Labour hire onboarding and engagement by acting as the Contractor Administrator for all labour hire panel resource nominations,* Maintenance related data input into the Computerised Maintenance Management System (CMMS),
* Assist with coordination and review of service contracts, ensuring documentation is completed in line with finance processes and Company protocols* Assist with the electronic mark-up of engineering drawings under the direction of the Engineering resources,
* Ensure vendor and supplier maintenance and engineering reports are saved to the relevant Synergy DM folder structure,* Answer and direct incoming phone calls in a polite and efficient manner to reflect the Company's professional image,
* Assist with general office support responsibilities such as photocopying, meeting coordination, organise catering and general errands,* Manage incoming and outgoing email communications by reviewing, allocating, redirecting and preparing responses,
* Liaise with the Outage Manager and the corporate office about Workplace Health and Safety (WHS) notifications and general site WHS matters,* Assist with the management and administration of all site WHS requirements,
* Maintain various document registers for incoming and outgoing correspondence in relation to the Maintenance Department,* Review, print and distribute the latest maintenance and engineering reports to all appropriate users and ensure removal of superseded documentation from distribution.
